Changes for managers, case handlers and reviewers
From QmPlusDoc
Qm+ has two user interfaces. This is the change log for managers, case handlers and reviewers. The change log for employees can be found here.
Changes in version 3.13 - 21.10.2011
General
- Several adjustments have been made according to the Quality criteria (Norwegian only) defined by the Norwegian Agency for Public Management and eGovernment (Difi) . This is a work in progress.
- Buttons that apply to an entire page are now gathered in a separate row with green background colour at the bottom of the page.
- You can now (de-)select many checkboxes by clicking also on the text that accompanies them, without having to click on the checkboxes themselves.
- The SMS module has been significantly expanded with the possibility to send an SMS instead of / in addition to an email at many pages. The SMS module can be ordered by contacting us at post@qmplus.net. The annual price increases by 5000 NOK per year and includes 5000 SMS per year. In general, it costs 5000 NOK for every 5000 additional SMS.
- We have introduced a new system for setting up Rules. This allows the automatic execution of a number of tasks given a set of criteria.
- Warning for cases that are overdue: An auto-generated warning email is now sent for actions with status Under execution which are overdue.
- As of this version, Qm+ no longer supports Interner Explorer 6 (IE6). If you are using IE6 and you are experiencing problems with Qm+, you are strongly encouraged to upgrade your browser.
Admin
- Case handlers. The tab has been removed and replaced by Rules. All defined case handlers and their possible connections to message forms and early case handling have been transferred to the new, more flexible, Rule system.
- Edit category: The user can now add a category to many message forms simultaneously.
Rules
New tab for managing rules. These are a set of criteria, that when satisfied, a certain "Reaction" happens. All preliminary rules can be defined based on criteria for users, forms, categories and departments.
- Example 1: User A is an additional case handler for the HES-form and the Information security form, from the departments Technical, Culture and Administration.
- Example 2: Users B and C will receive an email whenever a message is registered using the HES-form, has the category Fire safety selected and has been registered on the Technical department.
In the first phase, Rules can only be created / modified by users with user type Manager on the top department or who have the system role Content administrator.
The available "Reactions" at the moment are:
- Additional case handlers: The same as the former Case handlers tab.
- Early case handlers: Same as the list of users previously found in the page Edit case handler.
- Action approvers: New functionality. In principle, all users with the user type Manager or Case handler can handle all messages within their area of responsibility. To restrict who can close certain messages, you can set up Rules that specify who and when can close a message. The affected actions are: Reject (message), (Create) Action - Action done and Approve action.
- Informed upon message registration: New functionality. When a new message is registered, users who satisfy the criteria set up in these rules will receive a notification for the new message. The notification may be sent by email, SMS or both.
Graphs
- Per department overview table: We have added a column with the total number of registrations in the selected period.
- Per department overview table: It is now possible to select the period type. Possible options are: Automatic, Yearly, Quarterly, Monthly and Weekly. Automatic means that the system selects the period type (preselected).
Inbox / Archive
- Message process: Action, all textfields now start blank as default. If you want to keep the old solution where some text was copied into the action from the original message, contact drift@qmplus.net.
- Message process: New customisation options for those who do not wish to use action planning. This reduces the choices in the "Choose action" drop-down menu to: Reject, Close the case and Upload file.
- Message process: You can now click on all the labels of checkboxes or radio buttons in this page to select them.
- Message process: All the previous email text fields in this page can now be used to also send SMS, if the SMS module is on.
- Message process: The former "Action" choice in the "Choose action drop-down menu" is now split in two.
- The choice "Close the case" is the same as the old "Action done" that was shown in the separate drop-down menu for actions. This creates a new action with the given name and description that is immediately closed when the Save button is clicked.
- The choice "Plan an action" is the same as the old "Action needs planning" that was shown in the separate drop-down menu for actions. This creates a new action with the given name and description. When the Save button is clicked, the action gets the status Under execution, defined notifications are sent and the new action is shown as before.
- Message process: When selecting either "Close the case" or "Plan an action" in the Choose action drop-down menu, all text fields are empty at the beginning. If you wish to automatically copy the action description text as before from the original message, contact drift@qmplus.net.
- Message process and action process: The title of the action description field is now changed from Correcting action to Job description. If you want to keep the previous text, contact drift@qmplus.net. This change will also affect all existing actions.
- Message process: When a new action is created, you no longer get transferred to the action process page. If you want to see the complete action screen after you have created an action, click on the name of the new action in the table at the top of the screen or click on the action process tab.
Archive
- Action search: The Form type 'Comment' has been added to the search criteria.
- Message search: The Status 'Action in progress' has been added to the search criteria. This status applies to messages that are attached to at least one action which has not been approved.
- The defining category of the message now shows in bold letters in the column Description in the Archive tables and in the summary .pdf reports.
Activity plan
- Comments to the activity: A column "Select" has been added to the right side of the table. The user can now select for which comment (s)he wants to create an action. Select as many comments as you wish and then click on the Create new action button. All comments are preselected. Click on the checkbox on the column header (next to "Select") to select or deselect all comments at the same time.
Changes in version 3.11 - 29.06.2011
General
- Emails. The encrypted login information is now included only in the email header "Message-Id". The "Application data do not delete" has been removed by default. The relative flag in the customer's preferences (INCLUDEAPPDATA) has been set to false for all customers, except for those few whose email servers do not support the "In-Reply-To" email header (e.g. some versions of Microsoft Exchange 2003 and Fronter). Note that any email which did not originate from Qm+ directly (e.g. if it was forwarded first) will not be accepted by the system. Please contact us at drift@qmplus.net if you have any questions regarding this.
- Some minor adjustments have been made to satisfy the requirements of universal design. The most visible one is that some colours have been adjusted to provide better contrast.
Info
- New menu system for sub tabs.
Graphs
- Changes in the colours used in the charts. The signal colours red, yellow and green that have special meaning in the priority and status charts are no longer used in the other charts.
- Search criteria. When you have categories in the search criteria they are shown in drop-down menus. These can be used to change the selected category. The delete icon
can be used to remove a category from the search criteria.
- New report type "Per department overview table". The table shows an overview of the the most important data for messages summed up for the department which is selected in the Navigator. The data is listed below each other, distributed in time periods. The periods are created automatically based on the time frame you have selected for the report. This is the same as in the chart "Distribution over time". The data shown in the report are aggregated from the department selected in the navigator. At the moment there is no possibility to directly export the data or click on them (drill down functionality) in this report. Such functionality is scheduled for a later version of Qm+.
Admin
Forms
- Message forms / Edit message form. It is now possible to set up dependencies between categories in a message form. That means that some categories are only shown if other categories are selected. Dependencies may be set up as "And" dependencies or "Or" dependencies. The dependencies are set up from the list of all categories in the message form.
- Message forms / Edit message form. New button Show / Hide advanced options under the tab Categories. The form's Order type is considered an advanced option and is no longer displayed by default.
- Message forms / Edit message form. It is now possible to specify in which phase and how a category group will be displayed. The options are: Hidden, Editable and Read only. The default is that all category groups in a message form are editable under Edit message. The phases are: The message form, the message process page and the action process page. The view in the message detail field that appears when you hold the cursor above the + symbol under Inbox and Archive and in the Message process page is not affected by these settings.
Documents
- We have changed the standard document editing tool. It should now work much better in older browsers, especially IE 7.
- The version overview is updated to better handle versions and revisions. For each version both the user that created the version and the one who changed it last are now displayed with the edit time.
- By request of several customers we have now removed the function that made it possible to manually set which version of the document is the current version. We plan to make a function that controls the publishing of new versions in a later version.
Inbox / Archive
- Edit message. Categories may now have dependencies. That means they are only shown if other categories are already selected.
- Edit message. Category groups may now be shown as an image where you can mark or check fields in the image as selected. The selections from the image are then transferred into the message form. The message form must have one category per selectable part in the image. This may only be set up by QmPlus AS and is charged in accordance with the current hourly fees. Expected time needed is 1 - 2 hours per image.
- The Option page for reports has two new options. You can select to hide the names of the message originators in a message report, if the case history is not included in it. Also, for risk message reports, you now have the option to disable the risk colours inside the message list.
Archive
- Risk. Messages from deactivated departments are now left out of the Risk overview.
- Search messages and actions. When you have categories in the search criteria they are shown in drop-down menus. These can be used to change the selected category. The delete icon
can be used to remove a category from the search criteria.
Changes in version 3.10 - 18.03.2011
General
- It is now possible to assign multiple departments to each user. For each department the user belongs to, (s)he has a corresponding user type as before. This is managed under Edit user information. Users who belong to multiple departments select the department they wish to log into on the login page. To log into a different department, you must log out and then in again.
- New option that gives users with the user type Case handler access only to messages created with the message form they are responsible for. This is disabled by default.
- There have been some structural changes in the interface which should allow our Qm+ pages to adapt better to lower screen resolutions. There have also been some changes that make the system more compatible with standard HTML code. This may cause some screens to look somewhat different. Please give us feedback on this at drift@qmplus.net.
Info
- Option for icon
for export to .docx added for documents written in Qm+. Please note that the .pdf version is the most suitable for printing. At this point, we cannot guarantee that the .docx version will look the same in all editors or that the documents will open correctly (with various versions of Microsoft Office and OpenOffice 3.2.1 or later). This export format should only be used when there is a need for manually updating the document. This option is disabled by default.
- Document overviews may now be managed by roles.
Graphs
- Category graphs for category groups of the type Number now have a new checkbox for showing the Average. This shows the sum of the numbers saved in the field for the category divided by the number of messages where this category has been selected.
- New options for all chart types. It is now possible to define on a per customer basis which charts will be visible when the page loads.
Admin
Users
- Edit user information. New button for adding a department to a user.
- Edit user information. New button for deleting a department from a user, for those users who belong to multiple departments.
- New button Export users. Creates a. csv file that contains all the user information. This can be opened in Excel, OpenOffice or similar. The exported file will also contain additional user information if the option for additional user data fields is turned on. The headings of the table columns is at present not adapted to different languages. The same applies to the user's Type.
Forms / Lists
- Edit list content. The page is rewritten and all known bugs in this page are now fixed. The functionality in the page is unchanged and the appearance is nearly the same as before.
Case handlers
- The table can now be sorted on all columns.
Documents
- Various changes in both the new and the old document module have been made to improve the stability of the software. The old solution is still preselected by default. This is because of an unsolved problem that makes the new module particularly slow in Internet Explorer for companies with many departments. Contact drift@qmplus.net if you want the new document module to be preselected by default for your company.
- Edit document overview. Roles may be added to a document overview. A document overview with roles is only shown under Info if the user opening Info or the selected department in the navigator has at least one of the roles the document overview has.
Inbox / Archive
- The message history became more compact. Everything that happens at the same time (when clicking a button), like emails sent or actions done, now shows in a single row. This change can be seen in the popups from the Inbox (+) and the Archive (+) and when opening a message. The message reports have also been updated. Also, the columns Operation and Done by in the message history table have switched places.
- The action history became more compact. Some entries have been merged (for example email sent at the same time to the action creator, the action executor and the action approver).
- There is a new Option page for reports that opens when you click on the "Show as pdf" button. It contains the following options:
- Possibility to choose the report type (summary report / complete report). Complete report is the extended report which was default in the previous version. The summary report is new, and is used for printing out the same view as the Archive page. The summary report can be created from the Archive pages or from Comments to the activity.
- Possibility to choose the exported file format (pdf / docx). for reports from the pages under the tab Archive. Please note that the .pdf version is the most suitable for printing. At this point, we cannot guarantee that the .docx version will look the same in all editors or that the documents will open correctly (with various versions of Microsoft Office and OpenOffice 3.2.1 or later). This export format should only be used when there is a need for manually updating the report.
- Possibility to change some of the contents of the PDF reports for messages, actions and comments. Option for showing the image attachments, including or not the page title, the company logo, the search criteria, the risk table(s) etc. Please note that image resizing is done automatically at this point. Let us know if you are experiencing problems with images in the reports.
- Pop ups for messages and actions have become uniform, they all open from the + sign. The H column has been removed from all tables.
- The page for attached messages to an action now opens from a button in the Action process page.
- Action process: A "+" has been added in the first column of the table for displaying the extended message information. The Show message button and the Attach / Detach message buttons have been replaced with icons in the last column of the table which used to contain a checkbox. You can now click on the icons directly if you wish to open a message, attach it to the action or detach it from it.
- The pages Edit message, Message process and Action process now have a new more informative title (number, status, due date etc).
- The tabs Edit message, Message process and Action process now appear in the same page so that the transition from message to action is a more straightforward process. If there are several messages attached to an action or vice versa, a drop-down menu will appear below these tabs where you can choose which message or action you wish to open.
- Register new message. The buttons have changed colour. The buttons for new messages now have an orange / yellow colour, for log messages they are green and for risk messages red.
- Register new message. The buttons for messages, as well as log messages and risk messages are now displayed in the Inbox. The buttons for log and risk messages are displayed only if they are activated. If you save a new log or risk message, you will be redirected to the corresponding page in the Archive.
- For those who have selected the option that makes the buttons for registering a new message to be displayed directly in the inbox page regardless of the number of buttons, the buttons will appear in rows of six.
Archive
- Now uses the same way for showing the extended message information as in Inbox. The separate history column (H) has been removed.

- When someone replies to an email sent from msg-handler@qmplus.net adding other email addresses to the fields To / Cc / Bcc, they will receive a security alert by email. Inbox
- Message form. For category groups shown as drop-down menus you can now write letters to find your way to the desired category. Click first on the drop-down menu before you press the first letter or number on the keyboard. This search function is particularly useful for category groups that may contain 100 - 1000 categories (for example: road name, where the goal is to get statistics for maintenance tasks per road).
- Message form. New option. The cost field can be locked so that it is no longer possible to override the sum of the checked categories. This option is turned off by default.

User overview
- It is now possible to send messages to all registered users. All types of messages can be sent as emails. SMS is available for those who have ordered it. There will be a fixed fee for every SMS sent.
- There are 3 different types of messages:
- 1: Link to the forgotten password page. This is especially usefull when starting up with the system and you need to distribute login information to all users.
- 2: Link to login screen for the mobile version (only for customers using the mobile version). This is used for sending a link that logs the user directly into the mobile version.
- 3: Information. This is used for sending messages with no link in them.
Links
- A new editing tool to create documents is now available. The documents are made in HTML and have the most usual format options.
- Hearing rounds may now be created for a link. One hearing round may exist for each version of the document.
- A hearing round may have the status On hearing, For approval and Approved.
- A hearing has one user that is responsible for the hearing, one that is responsible for the approval and a group that may give hearing statements.
- Edit link group. The super user may now determine the background colour for each link group in the Info folder.

- New activity. For anonymous activities it is now set as standard that 6 answers must be registered on a selected department before any information is shown. The user creating the activity may specify a different number when creating the activity.
- Send result. New option "Choose among all users" when choosing recipients.
- References. New option for the activity plan. When this option is active, it is possible to define attached links to an activity or to a list as references. A reference is shown in the activity plan next to the name of the activity. This can be used to clarify which documents are the basis of the activity. This is an option that can be activated on a customer basis by QmPlus AS.
Survey forms, list form
- Comment field directly by the question. If comment form and comment category is set for a question, the comment field is displayed in the list form as it is in the single question form. It is up to each individual customer to determine whether the page "Do you have any comments?" should appear after the list is saved. It can be used to supplement comments or comment on questions that do not have a pre-defined category.
- Questions of type Text now show a comment field as is for Single question list if the comment form and the comment category are set for the question. The title of the comment field (the name of the text field in the comment form) is not used here.
Survey forms, both list form and single question view
- Multiple choice questions now have an individual comment field for each alternative. This is done so that it can be possible to list the comments for each alternative when looking at the results. This function may be turned off on a customer basis.
Graphs for the list
- In the mean value graph the rest up to the max value is now coloured white.
User report
- Available actions now only show actions created in the same or higher level departments with regard to the selected user.
- The department column for actions now shows the name of the department the action was created on and the name of the department immediately above it in the hierarchy.
Inbox / Archive
- Messages registered by a manager now automaticly get this manager as responsible. That means, such messages are not shown under Inbox / My current cases for other managers in the same department. The manager's name is also shown in the column Current case handler and in the Current case handler field in the Case handling screen.
- Hearing rounds new type of row in the table. They get a grey background colour and open the hearing screen. A row for a hearing is shown in the table if you have either an unanswered hearing round or you are responsible for approving a hearing and all the members of the hearing group have answered the hearing.

- Further study is removed as an option. Instead, use Choose case handler with your own name and set a due date.
- Sending an email attached to a message is now done from one text field instead of three. Below the text field it is possible to check the users that should receive the message. Check Send a note about the case to show the text field and the recipient list. Selecting Choose case handler automaticaly checks the Send a note field.
- Send to case handler and Send to former case handler now use the same text field used for sending emails to others. Whoever is selected in the drop-down menu will now be pre-selected in the recipient list.
- The action in the Choose action drop-down menu is now used for both the previous choices of Fixed directly and Create action. After selecting Action, you now select if the action is done, which the standard pre-selected choice, or if the action needs planning.

Changes in version 3.00 - 03.10.2008
General
- Qm+ has changed platform from Orion application server to Tomcat and Apache. This should not affect the service in any way.
- All customers are now connected with SSL encoding of the transfered data. This means that those of you who link directly to the login page in Qm+ have to replace http:// with https://. http:// will continue to work for a while. Those who link to our web page with http://www.qmplus.net do not need to make any changes. Contact drift@qmplus.net for questions.
- The AD module is now ready for testing. Those who are interesed in setting it up should contact drift@qmplus.net.
- All pages in the system now have a Help button that opens the coresponding page in the new Qm+ encyclopedia. The encyclopedia system is written in a media wiki system that those who have used a wikipedia variant will recognise. The main page of the new Qm+ encyclopedia may be reached from the normal Help folder or by pressing the link called Hovedsiden when viewing a documentation page. The new Qm+ encyclopedia is currently only available in Norwegian and the Help button is only shown for users with bokmål, nynorsk, swedish or danish as language. We are planning to create an english version eventually.
- A slight change of colour in the pages will hopefully make it easier to see which folders are selected.

Activity plan
- Comment overview. Possibility to view the paper version for actions and report.
- Fill out list: The department name shown behind the name of the user now shows the department the answer is registered on instead of the department the user belongs to. This will be the same department in most cases.
Inbox / Archive
- Message form. Message forms may now have a check box for choosing to register an anonymous message.
- Message form. A message form may now show an informative text when holding the mouse pointer above the name of an category group.
- The register new message drop-down menu is now bright yellow and is separated from the folders in the Inbox page. This will hopefully make it more visible.
